Context

The project aimed to build smart work tools for SMEs to submit and manage leave applications using customized policies and automated workflows.

Problem

Managing employees and submitting leave applications would be inefficient and time-consuming for small and medium enterprises that rely on conventional paperwork.

Goals

Build a simple and efficient process for employees in SMEs to apply for leave application and a seamless approval process without conventional paperwork.

Role

I led the team in conceptualizing the smart work tools for the mobile platform, from ideation to development and launch.

Designs

Data and research
During the usability tests of the communication features, we discovered that users (SME employees) would expect to have the leave application process implemented into the app, as it was processed manually with paperwork.

The other team was responsible for designing the admin system for company management so that employers could customize their leave policies.

Applying for leave application and approval
I was in charge of designing mobile-first solutions to allow employees to apply for their leave application and the approval process (for managers) on their smartphones.

Embedding the mobile-first solutions of simple in-built submission and approval tools into the business communication app.

Establishing design patterns
I proposed the design initiatives to ensure consistent experiences across smart work tools, including selection options, popover, application detail with status, highlighted information, picker, adding titles, entries list, empty view, and starting page.

Outcomes

Launched a Beta version of smart work tools that streamline employee management for SMEs in Southeast Asia by replacing the conventional paperwork process. The questionnaires in our internal organization proved that 82% of 10,000 employees across Southeast Asia (Shopee, Garena, SeaMonkey) preferred to apply for leave applications through the app.

The feature replaced the lengthy process of applying PTO within our internal organization with a mobile-friendly experience.
